1. Introduction

Bowen Education is a community-based weekend Chinese education institution dedicated to providing a safe, healthy, and orderly learning and teaching environment for students, teachers, parents, and visitors. We recognize that health and safety management remains critical in part-time educational settings, particularly given shared spaces, tight schedules.

This policy applies to all courses, extracurricular activities, and venue usage of the school, with specific coverage of daily operational procedures during Sunday Chinese classes.

Policy Review: Annually in September or immediately as necessary.

2. Roles and Responsibilities

2.1 School Leadership Team

Develop, review, and implement health and safety policies.

Appoint a "Health & Safety Coordinator" (typically the Principal or Administrative Director).

Coordinate with venue providers (e.g., partner primary schools :Forest Park School) to implement safety measures.

2.2 Health & Safety Coordinator

Inspect venue safety (electrical wiring, appliances, furniture stability, etc.) before weekly classes.

Handle incident reports and communicate with parents.

Monitor first aid kit supplies and fire equipment status.

Arrange drills or training (if applicable).

2.3 Teachers and Volunteers

Familiarize themselves with emergency evacuation routes.

Ensure the safety of teaching equipment used in activities.

Promptly report safety hazards or student injuries.

Organize student check-in and check-out procedures.

2.4 Parents & Guardians

Ensure children arrive and depart on time.

Provide and maintain accessible emergency contact information.

Proactively inform the school of children’s health conditions, allergies, etc.

Cooperate with school notifications and arrangements regarding safety measures.

3. Safety Arrangements

3.1 Premises Check

Before classes, inspect lighting, ventilation, and floor safety in classrooms, public areas, and restrooms.

Immediately address or isolate hazards such as wet floors, exposed wiring, or damaged furniture.

For off-campus rented classrooms, communicate with venue providers in advance to jointly confirm safety standards.

3.2 Fire Safety

Define evacuation routes and assembly points for all classrooms.

Conduct at least one brief fire drill per semester (if venue permits).

Teachers must know the location of fire extinguishers and alarms (for emergency use only).

3.3 Attendance Management

All students must be signed in/out by parents or authorized pick-up persons.

Absences require advance notification.

If a student is absent without prior notice, parents will be contacted within 30 minutes to confirm safety.

3.4 First Aid and Incident Reporting

At least one staff member with basic first aid knowledge must be present each teaching day.

First aid kits must be clearly labeled and accessible.

All incidents (including minor injuries) must be documented on incident report forms.

In case of serious incidents, parents will be contacted immediately, and medical assistance will be sought if necessary.

3.5 Visitors and Access

All non-teaching staff and unregistered volunteers must sign in at the reception desk.

Outside teaching hours, classrooms are restricted to students and teachers only; parents must wait in designated areas.

Unauthorized photography/videography on campus is prohibited to protect children’s privacy and safety.

4. Training & Communication

New teachers and volunteers must receive brief health and safety training.

Safety reminders will be sent to parents via WeChat groups, printed newsletters, etc., each term.

Parents with suggestions or concerns are welcome to schedule discussions with the Health & Safety Coordinator.

5. Incident Response Flowchart

Student Injury/Incident Occurs → Teacher provides immediate response and notifies Coordinator → Complete incident report form → Parent signs for confirmation → (If needed) Call emergency services or arrange medical attention → Document post-incident evaluation and improvement measures
